Privacy Policy

This policy explains information processed through SideDoor Events. Your organization manages its membership and event information; SideDoor Events provides the platform. Ask your organizer about any information it collects outside the platform.

Information processed

Depending on the features you use, information includes your name, email address, optional phone number, profile details, membership status, event attendance, RSVPs, messages, and uploaded content. Accounts use password hashes and session records. Organization records can include staff access, plan, billing, and domain information.

Security and operational records can include sign-in attempts, IP addresses, browser information, timestamps, administrative actions, and service errors. Invitation visits are counted using a hashed visitor identifier derived from connection information. We record the policy versions, account email, organization, signup source, and time when you accept the signup agreement.

How information is used

Information supports account access, membership approval, event planning, invitations, RSVPs, communications, billing administration, troubleshooting, abuse prevention, and service operation. Scheduled features process the information needed for the action configured by your administrator.

Who can receive information

Authorized organization administrators and staff can access information needed for their roles. Messages and content are available to their intended recipients or audience. Platform administrators can access records needed to operate and support the service. Hosting, storage, and email delivery providers process information needed to supply those services. Information may also be disclosed when legally required or necessary to investigate misuse and protect users' rights.

Do not include sensitive information in event descriptions, messages, or uploads unless it is necessary and appropriate for the intended audience. Recipients may retain copies of information shared with them.

Cookies and device storage

Session cookies support sign-in and access control. Browser storage may retain interface preferences. Blocking session cookies can prevent sign-in. This policy and the signup agreement do not provide consent for optional advertising tracking.

Retention and deletion

Retention depends on the record and the organization's account settings and operational needs. Messages are designed to expire from the app after one hour; this does not guarantee deletion of recipient copies, backups, or operational records at the same time. Account, attendance, billing, security, and agreement records may remain after you stop using the service. Some organization removal workflows retain recovery records for 30 days.

Contact your administrator to request correction, access, account closure, or deletion. Some records may need to be retained to meet applicable obligations, resolve disputes, prevent abuse, or complete an existing transaction. Ask your administrator for the retention periods applicable to your organization's records.

Your choices

Provide only the optional information you want to share. Ask your administrator to correct your details, change communication preferences, or stop future invitations. Essential account and security notices may still be necessary while your account remains active. Rights to access, correct, delete, restrict processing, or receive a copy of information depend on applicable law; requests can be routed through your administrator to platform support.

Security

The app uses password hashing, authenticated sessions, and role-based access controls. No service can guarantee absolute security. Keep your credentials private and promptly report suspected unauthorized access to your administrator.

Updates and contact

Updates will show a new effective date and version. Material changes in information handling should be communicated before taking effect, with consent requested where required. Contact the organization administrator who invited you with privacy questions or requests; they can escalate platform requests through their existing SideDoor Events support channel.
